The short version
- We collect the details you give us so we can match you with seasonal jobs.
- Your full profile, including contact details, is shared only with camps and resorts you're matched with, and with a visa sponsor if you need one and agree to it.
- Other partner camps can browse a short summary with no contact details, unless you switch this off in your profile. If you add a video intro, they can watch it too.
- After a season, camps and staff can rate each other. Others only see the overall star rating. Written comments stay private to FloExchanges.
- We never sell your data, and we don't use advertising or tracking cookies.
- You can ask to see, fix or delete your data at any time: email basecamp@floexchanges.com.
1. Who we are
FloExchanges is run by FloExchanges Ltd, a company registered in England and Wales (company number 17492617), whose registered office is at 8 Roby Street, St. Helens, Merseyside, WA10 3JE, United Kingdom ("we", "us"). We connect seasonal workers with summer camps and ski resorts. We are the "controller" of the personal information described in this policy.

2. What we collect

We don't ask for sensitive information such as health, religion or ethnicity. Please don't include it in free-text fields.
3. How we use it, and why we're allowed to
- To contact you about seasonal jobs after you sign up at an event or on our website. Basis: your consent, which you can withdraw at any time.
- To run your account and match you with jobs: building your profile, suggesting matches, letting partner camps browse your profile summary (unless you opt out), sharing your full profile with matched employers, and arranging interviews and placements. Basis: taking steps you've asked for, and performing our agreement with you.
- To check candidates are suitable: collecting references and checking certificates, which helps keep the young people at camps safe. Basis: our legitimate interests (and the camps') in safe hiring.
- To collect and show reviews after a season, so candidates and camps can make better choices. Basis: our legitimate interests. Only the overall rating is shown to others.
- To run our business: keeping recruitment records, working with employers and referral partners, paying referral fees and keeping the platform secure. Basis: our legitimate interests in running a recruitment service, balanced against your rights.
- To meet legal obligations, such as keeping financial records. Basis: legal obligation.
We don't make decisions about you using only automated tools. Match scores help us, but a person always decides who is put forward for a job.
4. Who we share it with
- Camps and resorts you're matched with. They see your profile (name, contact details, experience, skills, availability, what you've told us and your video intro if you've added one), so they can decide whether to hire you. They can also see your certificates and a summary of your references (what referees said, but not their contact details). They don't see our internal notes or review comments. They only see candidates matched with them.
- Other partner camps (browsing). If you have a candidate account, camps that hire through FloExchanges can browse a summary of your profile: your first name and last initial, the role you want, experience, skills and certifications, availability, whether you can work in the US, nationality, your "About me", your video intro (if you add one) and your overall review rating. They never see your contact details, age or our notes. If a camp asks to see you, or you say you're interested in a camp, you become matched and that camp sees your full profile. You can hide your profile from browsing at any time by editing your profile.
- Reviews. After a season, the camp and the staff member can rate each other (1 to 5 stars, whether they'd work together again, and a comment). Camps browsing FloExchanges see a candidate's average rating and a "Returning staff" badge, and candidates see a camp's average rating from former staff. Written comments are only seen by FloExchanges.
- Visa sponsors (international candidates only). If you need a visa such as a J-1, we'll only pass your details to a designated sponsor with your agreement.
- Referral partners. If a partner referred you, they can see your name and how far you've got (for example "signed up" or "placed"), so they know which referral fees they've earned. They can't see your contact details or anything else in your profile.
- Service providers who help us run FloExchanges, and who may only use your data to provide their service to us: Supabase (database and accounts), Netlify (website hosting), Resend (account emails) and Apple iCloud (our email inboxes).
- Authorities, if the law requires it.
We never sell or rent your personal information.
5. Where your data is stored
Our database is hosted in the United States, and many of the employers we work with are in the US. When your data moves outside the UK, we rely on the safeguards in our providers' data processing terms, such as the UK International Data Transfer Addendum and standard contractual clauses. When we share your profile with a US employer you've been matched with, it's because you've asked us to help you find work with them.
6. How long we keep it
- Event and interest sign-ups: up to 2 years after we last hear from you, or until you ask us to stop contacting you.
- Candidate profiles: while your account is active, then up to 2 years after your last season or last contact, so we can offer you future seasons. You can ask us to delete it sooner.
- Video intros and certificates: until you delete them or your profile. You can remove your video at any time from your profile.
- References and reviews: as long as the candidate profile they relate to.
- Placement and payment records: 6 years, because UK law requires us to keep financial records.
7. Your rights
Under UK data protection law you can ask us to:
- give you a copy of your data;
- correct anything that's wrong (you can also edit your profile yourself);
- delete your data;
- limit how we use it, or object to how we use it;
- send your data to you or another organisation in a usable format;
- stop contacting you (withdraw consent). You can also just reply "stop" to any email from us.

If you're unhappy with how we've handled your data, please tell us first so we can fix it. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk, or to the data protection authority where you live.
US residents: we don't sell or share your personal information for advertising. You can ask to see or delete your data at any time using the email above.
8. Cookies and browser storage
We don't use advertising or analytics cookies. The platform stores a small amount of information in your browser to keep you signed in, remember a referral link you followed, and save event sign-ups made without signal until they can be sent. You can clear this at any time in your browser settings.
9. Keeping your data safe
Your data is sent over encrypted connections. Access is limited by role: candidates only see their own profile and a list of hiring camps, employers see full profiles only for candidates matched with them (and a contact-free summary of others), video intros and certificates are private files opened by short-lived links,, and referral partners only see their referrals' names and progress. Passwords are stored securely and are never visible to us.
10. Age
Our jobs are for people aged 18 and over. We don't knowingly collect data from anyone under 18. If you think we have, please contact us and we'll delete it.
11. Changes to this policy
We'll update this page if anything changes, and change the date at the top. If we make an important change, we'll tell candidates by email.
